RFP_PM & Repair Services for HVAC, Boilers, Ice Machines, Exhaust Fans, Hot Water Heaters, Refrigerators, Freezers and more for Laurel Ridge Community College

Background
The Commonwealth of Virginia, through the Virginia Community College System (VCCS), is issuing this Request for Proposals (RFP) to establish contracts for preventative maintenance and repair services for HVAC systems, boilers, ice machines, exhaust fans, hot water heaters, refrigerators, freezers, and other related equipment at Laurel Ridge Community College's Middletown Campus, Fauquier Campus, and Luray Jenkins Hall.

The goal is to ensure the efficient operation of these systems and equipment as they are currently owned or may be acquired in the future.

Work Details
The contractor will provide comprehensive preventative maintenance services, emergency services, and on-call repair services for various makes and models of HVAC equipment. Specific tasks include:
- Preventative Maintenance (PM) services to maintain all systems in accordance with manufacturer specifications.
- PM service frequency will be guided by Attachment 7 and adjusted based on operational conditions.
- Initial PM service must commence within ten days of contract start date.
- Detailed reports after each PM service indicating equipment condition and recommendations for repairs.
- On-call emergency repairs must be initiated within two hours of notification from LRCC.
- All repairs must have a detailed written estimate submitted prior to work commencement.
- New equipment installed by the contractor will be maintained until warranty expiration; thereafter it will fall under the existing contract.

Period of Performance
The contract term is one year with four one-year renewal options or as negotiated. Services are anticipated to begin on July 1, 2025.

Place of Performance
Services will be performed at Laurel Ridge Community College's Middletown Campus located at 173 Skirmisher Lane, Middletown, VA 22645; Fauquier Campus at 6480 College Street, Warrenton, VA 20187; and Luray Jenkins Hall at 200 College Dr, Luray, VA 22835.

Bidder Requirements
Bidders must attend a mandatory pre-proposal conference on April 29, 2025. Proposals will only be accepted from those who attend this conference. Additionally, bidders should demonstrate experience in providing similar services and submit resumes for personnel assigned to the project.
