Conference - 2025 VA Highway Safety Summit

Background
The Virginia Department of Motor Vehicles (DMV) is a governmental agency under the Executive Branch of the Commonwealth of Virginia, responsible for administering motor vehicle and transportation-related laws.

The DMV's mission includes enhancing highway safety through collaboration with various agencies and organizations. The 2025 VA Highway Safety Summit aims to gather stakeholders for training on highway safety issues and best practices, ultimately aiming to reduce crashes, injuries, and fatalities on Virginia roads.

Work Details
The contractor will provide comprehensive conference facilities, including overnight hotel accommodations and meals for approximately 200 individuals during the DMV Highway Safety Summit. Specific requirements include:
- A well-maintained hotel and conference facility that complies with all relevant codes.
- Conference facilities must accommodate up to 375 participants with classroom-style seating arrangements.
- Catering services for breakfast, lunch, and breaks from May 19 to May 21, 2025.
- A block of 250 rooms reserved at guaranteed rates from May 18 to May 21, 2025.
- Audiovisual equipment including microphones, projectors, screens, and internet access in all meeting rooms.
- A dedicated Single Point of Contact (SPOC) for coordination with DMV staff before and during the event.

Period of Performance
The contract period will commence upon award and extend through May 21, 2025.

Place of Performance
The exact location is to be determined but must be within a suitable venue that meets the outlined requirements.
