Background
The Metropolitan Nashville Public Schools (MNPS) is the 42nd largest urban school district in the United States, serving a diverse population of students from over 112 countries. The district is seeking proposals for an Instructional Software Management System to enhance its software catalog, renewal, and approval workflows. This initiative aims to improve software approval processes, purchasing tracking, and reporting capabilities across the district.

Work Details
The awarded contract will involve the implementation of an Instructional Software Management System that includes:

- An internal and external software catalog with approval status for individual software products.
- Functionality to add, delete, or publish products in directories.
- Customizable approval statuses and filters for the catalog.
- A multi-step software approval workflow led by staff.
- Tracking of instructional software purchases by department or school, including purchase dates and renewals.
- A report dashboard for expiring contracts with a 90-day notification window.
- Various reports on spending by location, department, and per software.

Technology requirements include:

- Web-based hosting by the Offeror.
- Secure data transmission and storage.
- Compatibility with Microsoft Edge and Windows 10 version 20H2 or later.
- User account administration based on access levels.
- Integration with LDAP/Azure AD/MS Office365 for Single Sign-On.
- Efficient data export capabilities.

Period of Performance
The system must be fully implemented and operational by July 15, 2025.

Place of Performance
The services will be performed at various locations within the Metropolitan Nashville Public Schools district in Nashville, TN.

Bidder Requirements
Offerors must provide a Certificate of Insurance prior to contract execution covering general liability ($1 million), automobile liability ($1 million), workers' compensation as required by Tennessee law, technological errors & omissions coverage ($1 million), and cyber/privacy insurance based on the number of MNPS schools served. Additionally, Offerors must comply with MNPS's diversity business participation goals.
