Maintenance, Repair and Inspection Services For Nederman Exhaust Systems

Background
The City of Philadelphia is seeking to award a contract for Maintenance, Repair, and Inspection Services for Nederman Exhaust Systems specifically for the Department of Public Property. This initiative aims to ensure the proper functioning and maintenance of exhaust systems installed in various city facilities, including fire stations and police facilities.

Work Details
The contractor will provide semi-annual preventive maintenance services on all Nederman Point Source Capture Exhaust Systems and ancillary components. This includes:
1. Developing a semi-annual maintenance schedule within 30 days of the Notice to Proceed.
2. Conducting inspections, adjustments, and system testing to ensure compliance with design specifications.
3. Performing specific checks such as cleaning nozzles, inspecting hoses, checking electrical installations, and ensuring overall system performance.
4. Notifying the Department of Public Property regarding any damaged or worn parts requiring replacement at no additional labor cost beyond the flat fee for preventive maintenance.
5. Providing repair services on a time and materials basis for issues beyond regular maintenance.
6. Maintaining an inventory of spare parts for quick access during repairs.

Period of Performance
The contract will commence upon award and will last for an initial term of twelve (12) months, with options to renew for up to four (4) additional one-year periods at the City's discretion.

Place of Performance
Services will be performed at various locations including City of Philadelphia Fire Stations and Police Facilities.

Bidder Requirements
Bidders must be enrolled in the City's Annual Bid Security Program and pay a non-refundable fee of $100. Additionally, they must submit a Bid Processing Fee of $25 with their quote. Bidders are required to have certified Nederman service personnel available 24/7 and maintain a spare parts inventory as specified in the bid documents.
