Maintenance And Support For Emr-Integrated Dental Imaging Solution

Background
The Philadelphia Department of Public Health, Ambulatory Health Services is issuing this contract to provide maintenance and support for the Apteryx dental imaging solution integrated with the electronic health record (EHR) system, eClinicalWorks.
The goal of the contract is to ensure ongoing functionality and compliance with City IT policies while supporting eight City-operated dental practices.

Work Details
The contractor will provide support and maintenance services for the Apteryx dental imaging solution, which includes:
1. Seamless viewing of dental images within the EHR system, eClinicalWorks.
2. Exact patient matching between dental imaging and EHR systems.
3. Functional requirements include:
- Image capture capability from within the eCW interface.
- Direct link support to DICOM capture.
- Support for various dental imaging templates including periapical, bitewings, full mouth series, intraoral camera capture, and panoramic imaging.
- Post-capture image enhancements and AI software extensions.
- Compatibility with Windows 10 and 11 and access to cloud storage via URL from any web browser outside of eCW.
- Image extraction capabilities and data migration using disc media.
4. Hardware compatibility with Gendex GXS-700 sensors, KaVo IXS sensors, KaVo OP-2D Panoramic Machine, Instrumentarium OP 200 Panoramic Machine, and Acteon Sopra Cameras.
5. IT security requirements include timely notice of software updates/patches and compliance with City IT security standards.
6. Personnel requirements include qualified technical support staff and training personnel.

Period of Performance
The contract term is expected to start on or about January 1, 2025, with an initial annual maintenance period from January 1, 2025 to December 31, 2025.
The City may amend the contract to add up to four additional terms of one year each.

Place of Performance
The services will be performed at eight City-operated dental practices located in Philadelphia.
