Integrated Workplace Management System (IWMS)

Background
The Board of Regents of The University of Oklahoma is issuing this Request for Proposal (RFP) for the implementation of an Integrated Workplace Management System (IWMS).
The goal of this contract is to enhance the management and operational efficiency of the university's facilities and resources through a comprehensive IWMS solution.
The university prefers to award the contract to a single supplier but reserves the right to award to multiple suppliers if deemed in its best interest.

Work Details
The services required under this contract include:
1. Implementation of an Integrated Workplace Management System (IWMS) that encompasses functionalities such as scheduling, prioritizing, and tracking work orders, preventive maintenance compliance, data security measures, integration capabilities with single sign-on solutions, and customer-facing interfaces.
2. A comprehensive implementation plan including key milestones, estimated timelines, project management methodologies, training, onboarding, and ongoing support services.
3. Capabilities for managing construction and renovation projects including planning, task management, resource allocation, warranty tracking, and automated escalations for service levels at risk.
4. Integration with design tools like AutoCAD or Revit and support for tracking occupancy and space utilization with analytics reporting capabilities.
5. Inventory management features with automatic reorder capabilities based on pre-set thresholds and integration with vendor catalogs.

Period of Performance
The contract will be performed from the date of award until completion of the project as specified in the implementation plan, expected to be finalized by March 21, 2025.

Place of Performance
The services will be performed at The University of Oklahoma's facilities.
