This application is for Outdoor Location #9199 at the New York State Fairgrounds for the 2025 State Fair. This outdoor space is located on the hill near Suburban Park, where the Taste of NY tent was previously located. The space is a 40'x40' square area (1,600 sf). Water and electric are provided at this location, but sewer hookups are not available currently. This space is designated as an area that must sell alcoholic beverages and may also sell non-alcoholic beverages if desired. Although prepared food cannot currently be sold at this location, manufacturer packaged foods (chips, pretzels, etc.) may be sold.
This is a designated tent location in a grass area. The selected vendor must obtain a tent from the one of the Department's approved tent vendors, and provide DOH approved flooring for the working and service area. Flooring must meet ADA accessibility guidelines for the service area. Rates for this space are based on the current published Concession and Exhibit rate structure and rate zone designation map. The rental price for this space will be $8,000.00 (40' x 40' = 1,600sf x $5.00/sf (Outside Food and Commercial Rates 601+/Rate B). The rates and zone designation map are also available on the Department's website at https://nysfair.ny.gov/fairtime-information/. Because this is a concert venue location, the selected vendor is not required to open before 6:00 PM but must be open each night of The Fair from August 20 to September 1, 2025 between 6:00 PM and 10:30 PM. Vendors also have the option to be open during The Fair's operating hours.

Applications will be reviewed, and selection will be made based on the following criteria and the Department's desire to add to the diversity and entertainment value of the Fair (NOTE: Incomplete applications will not be considered and will be removed from the selection process. Ensure you attach all relevant and correct documents requested in the application.):
1. Rendering and Description of booth concept (include pictures, drawings, and descriptions) (Maximum 10 Points)
a. Provide a detailed description and rendering for our staff to evaluate your application. Renderings will be judged based on the visual concept, and written descriptions of how the space will add a unique aspect to the Suburban Park area.
b. Attach a color photo or professional sketch of your proposed exhibit/booth. Renderings should be professional and concise, including layout, dimensions, seating, and service areas of the proposed design. Please attach pictures of your concept to the application where indicated.
c. Provide a detailed description of your proposed stand layout. Consider how your design will allow for flow, be visually appealing, what unique or signature offerings you will provide, and how your proposed layout will create a unique experience or atmosphere for Fairgoers. Include product pricing, descriptions regarding your proposed staffing for peak service hours, and how you will quickly and effectively serve customers during heavy traffic times.
2. References (Maximum 2 Points)
a. Include up to two references that can support your proposal, including those of other fairs, events, and or shows.
b. References should include contact information including name, phone number, email, reference's job title, and your relationship with the reference.
3. New York State based business and New York Food Products (Maximum 2 points)
a. New York State businesses will receive one point.
b. Applicants that will sell New York state produced food products (prepackaged) will receive one point.
i. This point does not include sale of alcoholic beverages; all vendors must comply with the requirements set forth in Appendix G of the contract.
4. Years of Experience presenting product or show (Maximum 2 Points)
a. Vendor applicants who have continually participated in the NYS Fair for 1-9 years will receive an additional point.
b. Vendor applicants who have continually participated in the NYS Fair for 10+ years will receive an additional two (2) points.
5. M/WBE (Minority and Women-owned Business Enterprise) and/or SDVOB (Service-Disabled Veteran-Owned Business) (Maximum 1 Points)
a. Indicate whether you are a registered M/WBE or SDVOB.
6. Variety of products available for Fairgoers (Maximum 2 Points)
a. Describe how you will attract Fairgoers to your stand, including any unique products, specialty beverages (both alcoholic and non-alcoholic), or services that will be offered at this stand.
In the event of a tie score during the evaluation process, the application that is submitted first will be awarded the contract. The submission time will be determined based on the timestamp recorded upon receipt of the applications.
