2025 Recycling Calendars

Background
The City of Greensboro Solid Waste & Recycling Department (SWR) is seeking to secure a firm, delivered price for the printing and mailing of 2025 Recycling Calendars. This initiative aims to effectively communicate recycling information to the community through printed materials.

Work Details
The contract involves the printing and mailing of approximately 82,000 two-sided color folded postcards, specifically 41,000 red calendars and 41,000 blue calendars. The specifications include:
- Size: 8.5 x 11 inches, printed in a 4-color process on both sides.
- Paper: White 80# matte cover stock paper.
- The postcards will be folded to a final size of 8.5 x 5.5 inches.
- Artwork and mailing addresses will be provided by the City to the awarded vendor.
- The City will provide indicia for postage payment.
- A final proof must be approved by the Project Manager prior to printing.
- Postcards must be sealed with Fugitive glue or Wafer Seals to comply with USPS regulations for automation mailing.
- Bidders are required to process the provided mailing lists for optimal USPS Marketing Mail postage rates, including NCOA and Cass certification, and provide a quote for postage costs.
- Suggestions for improving deliverability and reducing postage costs should also be included in the bid response.
- Final mailing quantities and postage costs must be confirmed based on current rates before printing.
- The vendor must sort and deliver approximately 41,000 red and 41,000 blue postcards to USPS. Any extra postcards without addresses should be delivered to the City of Greensboro Solid Waste & Recycling Department at 401 Patton Avenue, Greensboro, NC 27406, with any associated delivery charges included in the bid.

Period of Performance
Postcards should be mailed by the first week in December.
