RFP for Customer Relationship Management (CRM) System Services in Coastal Mississippi Tourism

Background
The Mississippi Gulf Coast Regional Convention and Visitors Bureau, also known as Coastal Mississippi, was established on July 1, 2013, following the signing of House Bill 1716 by Governor Phil Bryant. The Bureau aims to enhance regional and national awareness of Coastal Mississippi as a premier travel destination and drive economic impact through tourism. This RFP seeks proposals for a comprehensive Customer Relationship Management (CRM) system tailored to the needs of Destination Marketing Organizations (DMOs).

Work Details
The selected vendor will implement a cloud-based CRM system that integrates with the Bureau's existing content management system (CMS) administered by Tempest. The CRM must facilitate marketing and sales operations, support partnership engagement, and improve internal administrative efficiencies.

Key features required include:
- General Features: Cloud-based platform, role-based user access controls, CMS integration, secure data hosting, real-time dashboard and report builder, open API for third-party integrations.
- Sales & Services: Lead management, contact tracking, sales forecasting, email/calendar integration, tagging and segmentation.
- Marketing & Communications: Email campaign management, media tracking, Google Analytics integration.
- Event & Tourism Management: Event registration tools, FAM tour coordination.
- Partnership Management: Secure partner portal with communication tracking and online invoicing.
- Administration & Finance: Data exports and performance reports.
- Onboarding & Support: Full data migration, staff training, ongoing support.

Period of Performance
The contract work is expected to begin on May 2, 2025.

Place of Performance
The services will be performed in Coastal Mississippi.
