REQUEST FOR PROPOSAL (RFP) MODOT-FY25-0063-SL, 1: St. Louis District - Conference Rooms Upgrade

Background
The Missouri Department of Transportation (MoDOT) is issuing this Request for Proposal (RFP) to qualified Offerors to provide, furnish, and install state-of-the-art video technology in the St. Louis District. This initiative aims to enhance communication capabilities within four conference rooms located at the Transportation Management Center (TMC) and the St. Louis District Office in Chesterfield, Missouri. The successful Offeror will enter into a Contract Services Agreement with the Missouri Highways and Transportation Commission (MHTC).

Work Details
The Offeror must provide a comprehensive video technology system that includes installation and setup across four specific conference rooms:

1. **TMC Conference Room 209**: Upgrade includes installation of a new video technology system capable of supporting TEAMS, Webex, and Zoom meetings, multiple microphones for lapel and handheld usage, cameras that rotate to display speakers, audience pickup for calls, connection capabilities to computers for display on screens/projectors, and integration with dimming lights.

2. **TMC Conference Room 207**: This room will serve as an overflow for Room 209 with similar upgrades including setup for TEAMS meetings and necessary audio-visual equipment.

3. **District Conference Room 160**: Upgrades include new televisions to replace existing ones, enhanced access for switching between devices like DVD players and computers, and support for TEAMS meetings.

4. **Conference Room 211**: Installation of an audio cabinet within the table leg, setup for TEAMS meetings with control solutions provided on tabletop and wall.

Additionally, a warranty on equipment and setup for at least one year is required.

Period of Performance
The contract period will commence upon execution of the Resulting Agreement and will last for one year.

Place of Performance
The work will be performed at the Transportation Management Center (TMC) and the St. Louis District Office located at 14301 South Outer Forty Drive, Chesterfield, Missouri.
