Audio & Video Production Services for Large Scale Events (Tier II & Tier III)

Background
The City of Detroit Office of Contracting and Procurement (OCP) is seeking proposals for Audio & Video Production and Rental Equipment Services for Large Scale Events (Tier II & III) on behalf of the Media Services Department. The goal is to provide technical and professional services for various city events, including the State of the City, Community Meetings, City Council Proceedings, Press Conferences, Occupy the Conner, and State of the Youth.

These events are essential for community engagement and may occur in varying weather conditions at different venues.

Work Details
The contractor will provide audio/video production services for Tier II events such as Mayoral Community and City Council meetings (16 total), requiring setup for 100 to 1000 attendees. Staff must arrive by noon for setup and testing.

The State of the Youth event requires staff availability from 6 AM on the day of the event, accommodating similar attendance. For Tier III events like the State of the City, staff must be available five days prior to finalize logistics and materials.

Occupy the Conner requires a dedicated band stage and generator for outdoor performances. Specific equipment requirements include:
- Audio setup for 1 to 18 microphones (handheld, wireless, lavalier)
- Projectors (6K-14K) with various screen sizes
- Speakers capable of covering audiences from 50 to over 1000 people
- LED lighting, HD video monitors, draping or curtains as needed
- Technical support for live streaming and Zoom meetings
- On-site troubleshooting capabilities.

Period of Performance
The contract will be effective for three years with options for two one-year renewals. Events are scheduled throughout this period based on community needs.

Place of Performance
Services will be performed at various locations within Detroit including churches, community rooms, recreation centers, restaurants, City Hall, gymnasiums, local high schools, active construction sites, and theaters.
