ITB Translation Services

Background
The City of New Orleans, through its Chief Administrative Office, is issuing a formal Invitation to Bid (ITB) for Translation Services as part of the federally funded Language Access Pilot Program.
The goal of this contract is to support the translation of vital public-facing documents and communications to ensure accessibility for non-English speaking residents.
The projected budget for these services is estimated at $150,000, although this amount may vary based on actual needs during the contract period.

Work Details
The contractor will be responsible for:
1) Translating all identified public-facing documents, prioritizing those most essential to departmental services as agreed upon with designated City staff.
2) Ensuring that all critical documents are available in multiple languages, including English, Spanish, and Vietnamese at a minimum.
3) Responding to requests from designated City staff for translations related to public events and community meetings.
4) Furnishing digital, printable PDF formats and translated templates of all materials such as brochures and social media postings.
5) Providing monthly service reports detailing all translation activities performed during that period.
The contractor must maintain sufficient personnel and resources to meet the volume of translation requests within agreed timelines.

Period of Performance
The contract will commence upon approval and issuance of a Purchase Order by the City’s Department of Finance and will continue for a term specified in the contract with options for renewal based on performance and funding availability.

Place of Performance
Services will be performed within the City of New Orleans, LA.
