Grant and Research Administration Software Solution

Background
Eastern Kentucky University (EKU) is seeking proposals from qualified firms to provide a cloud-based software solution for managing submissions and awards related to externally-sponsored projects.

The Office of Sponsored Programs at EKU oversees the university's external funding portfolio, including grants and contracts, and ensures compliance with related tasks. The goal of this contract is to enhance the accuracy of submissions, reduce administrative burdens, improve efficiency, and provide accessible information records for users.

Work Details
The selected vendor will provide a cloud-based software solution that includes the following features:
1. A user-friendly self-service platform;
2. Single sign-on capabilities;
3. Flexibility to set up applications in various formats with user-defined fields;
4. Ability to update application forms post-launch;
5. Acceptance of file attachments with applications;
6. Capability to return submissions for revisions;
7. Setting application due dates;
8. Intuitive reviewer experience;
9. Customizable reviewer feedback forms;
10. Returning reviewer scores and comments to applicants;
11. Data extraction in spreadsheet format;
12. Unlimited programs, applications, applicants, and reviewers;
13. Minimum of five administrative accounts;
14. Accessibility compliance;
15. Compatibility with multiple browsers/platforms;
16. Reporting capabilities with examples provided by the vendor.

Period of Performance
The contract will have an initial term from the award date through June 30, 2025, with the possibility of up to five consecutive one-year renewal periods, totaling a maximum contract period of six years.

Place of Performance
The services will be performed at Eastern Kentucky University.
