SOLE SOURCE Xerox High Speed Printer Maintenance

Background
The Illinois Department of Innovation and Technology (DoIT) is issuing a sole source contract to Xerox Corporation for Xerox High Speed Printer Maintenance. The contract is necessary as Xerox is the only vendor qualified and trained to service the printing systems in Springfield, Illinois. The maintenance agreement provides for timely response to repair orders at a guaranteed level of service as well as volume usage pricing.
Without these services, DoIT would fail to meet critical deadlines impacting agencies, employees, and Illinois citizens.

Work Details
The contract requires maintenance and volume print pricing on the high-speed Xerox printers located at the Willard Ice Building in Springfield and the 33 South State location in Chicago. It covers the maintenance of specific Xerox printers with serial numbers TX0001509, TX0001795, TX0001794, TX0001659, and TX0001664.
The agreement includes all parts, labor, software updates, maintenance, and travel for the printers' hardware and software. It also provides for a 24-hour-a-day, 7-days-a-week support staff to assist with hardware and software problem resolution.

Period of Performance
The estimated contract begin date is July 1, 2024, with an end date of June 30, 2027. The contract spans a 36-month period taking DoIT through FY25/26/27.

The contract will be performed at the Willard Ice Building in Springfield and the 33 South State location in Chicago.
