Air Conditioning Maintenance Services

Background
The Department of Transportation is seeking a contractor to provide Air Conditioning Maintenance Services at Kahului Harbor, located on the Island of Maui. The goal of this contract is to ensure the proper functioning and maintenance of air conditioning units at various facilities within the harbor, thereby supporting the agency's mission to maintain safe and efficient transportation services.

Work Details
The Contractor shall provide monthly maintenance services for the following air conditioning units:

- 2 LG Units at the Kahului main office (13 vents and 17 ducts)
- 2 York VRF Units at the Pier 1 Passenger Terminal (7 vents and 7 ducts).

Services include complete inspection, maintenance, filter cleaning/replacement, and repairs as per manufacturer guidelines. The Contractor will also provide emergency response for all units under this contract. All labor, tools, transportation, and supervision necessary for these tasks are included. Emergency repairs will incur additional charges upon authorization by the Harbors District Manager.

The Contractor is responsible for maintaining a local supply of parts in Hawaii for emergency repairs and must use new standard parts or those recommended by the manufacturer. A written warranty for replacement parts is required. Maintenance service reports must be provided after each service visit, detailing work performed and signed by both the contractor's maintenance personnel and a designated State employee.

Period of Performance
The contract term is twelve (12) months, from May 1, 2025, to April 30, 2026. There is an option to extend for two additional one-year periods based on satisfactory performance.

Place of Performance
The services will be performed at Kahului Harbor on the Island of Maui.

Bidder Requirements
The Contractor must provide a Certificate of Insurance with specified minimum coverage limits including Commercial General Liability ($1 million per occurrence) and Automobile Liability ($1 million per occurrence). The Contractor must comply with all applicable Federal, State, and local laws and adhere to specific clauses regarding insurance cancellation and additional insured status for the State of Hawaii.
