RFP 2025-08 City Hall HVAC Replacement

Background
The City of Hinesville, located in Georgia, is seeking proposals for the replacement of HVAC units at City Hall. The city provides various municipal services including utilities and community development programs. The goal of this Request for Proposal (RFP) is to replace three existing Trane package HVAC units with new units and establish a maintenance plan to ensure their operational efficiency.

Work Details
The contractor will replace three existing Trane Package Units: two 50-Ton Model #TED600B4AC2B6EE5ABOD and one 30-Ton Model #TED360B4AC2B6EE5ABOD with new units: two 50-Ton Model #TED600 and one 30-Ton Model #TED360. The contractor must also provide a 5-year annual maintenance plan that includes routine inspections and major inspections. Specific tasks include:

1. Locking and tagging out power to each unit individually.
2. Disconnecting electrical, control wiring, and duct from the old units.
3. Removing the old units from the roof using a crane.
4. Installing the new units on the roof with a crane and sealing them to the existing curb.
5. Anchoring the units down for high wind protection.
6. Reconnecting electrical, control wiring, and duct to each unit.
7. Verifying all connections are secure.
8. Restoring power for factory start-up and documenting start-up data for warranty purposes.
9. Cleaning up the work area and disposing of debris properly, including the removal of existing rooftop units.

Period of Performance
The contract work is expected to commence after April 23, 2025, with specific timelines for installation and maintenance outlined in the proposal process.

Place of Performance
The work will be performed at Hinesville City Hall, located at 115 East Martin Luther King Jr Drive, Hinesville, GA 31313.
