Managed Print And Copier Services

Background
The Watertown Public Schools District is seeking a service partner to provide and manage its Print and Copier services. The goal is to optimize the fleet and reduce the cost of ownership while adhering to industry best practices.

The district includes multiple locations such as John Trumbull Primary School, Judson Elementary School, Polk Elementary School, Swift Middle School, Watertown High School, Watertown Transition Academy, Watertown Alternative Academy, Central Office, and Facilities Office.

Work Details
The contract involves providing managed print and copier services including:
- Furnishing, installing, servicing, and maintaining 28 Xerox copy machines and 50 HP printers.
- Entering into 36 or 60 month Full Market Value (FMV) lease agreements starting Spring 2025.
- Providing equipment installation, training, maintenance, and all parts including staples where applicable.
- Ensuring all devices are new and include features such as secure printing via PaperCut or similar software, scanning capabilities (to file/email/searchable PDF), quota management through LDAP/Active Directory, mobile printing capabilities, and more.
- Providing a service level agreement with a minimum four-hour service response time for repairs.
- Including costs for delivery, unpacking, installation of equipment at each location.
- Offering training for IT staff and end users at all locations with materials available for ongoing support.

Period of Performance
The contract period will commence on March 16, 2025 with proposals due by April 4, 2025. Planning and preparation for implementation is expected to begin June 1, 2025 with hardware installation starting July 1, 2025.

Place of Performance
Services will be performed at various locations within the Watertown Public Schools District in Watertown, Connecticut.
