Asset Management System (CMMS)

Background
The Department's Division of Capital Assets – Capitol Complex Buildings & Facilities Management provides electrical, plumbing, lighting, HVAC, grounds maintenance, and general maintenance/repair for many State buildings and parking lots. State tenants may contact Capitol Complex to request new or additional space, make alterations to existing space, and request maintenance for their offices or assets.
To do so, tenants are asked to contact Capitol Complex through a Computerized Maintenance Management System (CMMS) and submit Work Orders (WO) via an online portal.

Work Details
The contractor will provide the State’s Capitol Complex Building and Facilities Management team a secure and accessible web-based and vendor-hosted Commercial-Off-the-Shelf (COTS) Software-as-a-Service (SaaS) system, or Computerized Maintenance Management System (CMMS), capable of supporting an unlimited number of users for maintaining and managing facilities.
The system should include work orders, assets, time and materials, mobile solutions, inventory, preventative maintenance, warranties, customer requests, and reporting.
The State operates seventeen buildings totaling 1,561,945 Gross Square Feet (GSF).
The system should include features such as asset management, work management, preventive maintenance, inventory tracking, robust reporting & analysis, purchasing capabilities.
It should also support smartphone-based barcode or Quick Response (QR) code with scanning functionality.

Period of Performance
The Contract shall have a Start-Up Period and a Closeout Period.
The Start-Up Period should include tasks such as system implementation and providing onsite consulting program for State users.
The Closeout Period shall include implementing the Closeout Plan approved by the State and providing all reports, data, systems, Deliverables necessary for transition.
