FY25: Onsite Document Shredding   2

Background
The Department of Veterans Affairs (VA) is seeking a contractor to provide onsite document shredding services for the Bay Pines VA Healthcare System (BPVAHCS).

The goal of this contract is to ensure the secure destruction of confidential documents in compliance with federal, state, and local regulations, including adherence to the Privacy Act and HIPAA standards. This service is critical for protecting sensitive information related to veterans and maintaining the integrity of the VA's operations.

Work Details
The contractor will provide all necessary labor, personnel, equipment, supplies, secured vehicles, materials, supervision, and related services for commercial document destruction at various VA facilities.

Specific tasks include:
1. Shredding of sensitive documents on-site at designated locations including C.W. Bill Young VA Medical Hospital and several Community-Based Outpatient Clinics (CBOCs).
2. Ensuring that all shredding is performed in the presence of a designated VA employee.
3. Providing secure containers for document collection until destruction occurs, ensuring that materials are stored securely and monitored.
4. Delivering Certificates of Destruction monthly for completed shredding activities in accordance with NIST 800-88 guidelines.
5. The contractor must also be prepared to destroy other media types such as DVDs and VHS tapes as needed, with pricing discussed prior to service provision.
6. Maintaining compliance with all relevant security directives and conducting risk assessments as required.

Period of Performance
The contract will have a base year from December 1, 2024, to November 30, 2025, with four optional renewal years extending through November 30, 2029.

Place of Performance
The services will be performed at multiple locations within Florida including: C.W. Bill Young VA Medical Hospital in Bay Pines; Lee County Healthcare Center in Cape Coral; Largo offices; Naples CBOC; North Pinellas CBOC; St. Petersburg CBOC; Sarasota CBOC; Sebring CBOC; Bradenton CBOC; Port Charlotte CBOC; Clearwater Vet Center.
