Dictation and Transcription Services for Minneapolis VA Health Care System

Background
The Minneapolis Veterans Administration Health Care System (MVAHCS) is seeking vendors to provide dictation and transcription services as part of a sources sought solicitation. This initiative aims to gather market research and identify capable vendors who can deliver these services at competitive pricing.

The contract is intended to support the medical care of patients at MVAHCS, which includes various outpatient clinics.

Work Details
The contractor will provide off-site dictation and transcription services for medical reports generated by staff at MVAHCS and its outpatient clinics. Services include transcribing complex medical, surgical, and pharmacological information into required report formats.

Reports to be transcribed include discharge summaries, operative reports, consults, compensation and pension exams, procedure notes across various specialties (e.g., cardiology, neurology), outpatient progress notes, and emergency room notes. The contractor must adapt to variations in accents and speech patterns of different physicians.

The contractor is responsible for ensuring accuracy with an acceptable error rate of 0.5% per day for each report type, maintaining a turnaround time for stat reports of two hours, and providing quality control through audits and reviews of dictated material.

Period of Performance
The contract will have a base year of 12 months with the option to extend for four additional 12-month periods, totaling a maximum duration of five years.
