THIS IS A SOURCES SOUGHT NOTICE FOR INFORMATION AND PLANNING PURPOSES ONLY.

This Sources Sought Notice is to survey the marketplace for vendor capability and interest in helping Langley AFB's 1st Fighter Wing procure approximately two (2) Mobile LED Screens for the Air Power over Hampton Roads Air Show, 25-27 April 2025. This requirement includes the delivery and services of said Mobile LED Screens no later than 24 April 2024 and the return of two Mobile LED Screens after the conclusion of operations on 27 April 2025. The contractor is to provide these services in a manner that will ensure the safety and general wellbeing of Air Show attendees. The contractor shall provide all personnel, equipment, tools, materials, supervision, licenses, quality control, and other items and services necessary to complete this requirement. Contractor shall comply with all federal, state, and local laws and regulations.

The attached PWS is in draft status and will be updated for a formal RFQ. Please monitor SAM.gov for all subsequent postings.

This is not a formal Request for Proposal (RFP), and no contract will result from this notice, nor does it commit the Government to any acquisition for these services. All interested parties shall submit a capabilities package (no more than 10 pages total) outlining your company's key business abilities relevant to the performance of this requirement. Background
This Sources Sought Notice is issued by Langley AFB’s 1st Fighter Wing to assess vendor capability and interest in providing two Mobile LED Screens for the Air Power over Hampton Roads Air Show scheduled for April 25-27, 2025.

The goal of this contract is to ensure effective communication and safety for attendees through the use of these screens during the event.

Work Details
The contractor shall provide all necessary personnel, equipment, tools, materials, supervision, and services to deliver and operate two Mobile LED Screens at Joint Base Langley-Eustis, VA. Responsibilities include:
- Displaying advertisements, schedules, updates, and emergency notifications to a large crowd.
- Ensuring the system is accessible and updatable in case of emergencies.
- Interfacing with sound service providers for synchronized audio-visual presentations.
- Maintaining mobility of the screens without affixing them to the parking apron.
- Staffing must include individuals with at least 3 years of experience supporting large venues (20,000 spectators).
- Providing on-call support during the event days and conducting pre-show tests to ensure operational readiness.
- Coordinating with Air Show staff for message creation and visual media products.

Period of Performance
The contract will be performed from April 24, 2024 (delivery date) until April 27, 2025 (return date after operations).
